These Terms and Conditions govern the services provided by NORWANA AS, operating under the name Guide to Lofoten. By booking or purchasing any services or products from us, you agree to be bound by these terms.
1.1 Services Provided:
👉 Guided Tours: Northern Lights & Campfire Evenings, Sightseeing Tours, Winter Hikes, Snowshoeing Trips, Private Sightseeing Tours.
👉 Digital Products: Interactive Maps and Itineraries.
👉 Consulting Services: Online Travel Consultations.
👉 Rental Services: Snowshoes and microspikes rentals
1.2 Company Status:
NORWANA AS is a company registered in Norway with a taxi operator license (license number NO2422). However, it’s important to note that while we are licensed, Guide to Lofoten does not operate as a traditional taxi or transportation service. Our primary focus is providing guided sightseeing tours where transportation is included as part of the overall experience.
2.1 Booking Process:
All bookings are confirmed upon receipt of full payment. Bookings can be made through our website or directly via email or phone. Once payment has been received, a confirmation email/sms will be sent.
2.2 Payment Methods:
We accept payments via credit card, bank transfer, and in cash.
We know that life happens — plans change, weather does its thing, flights get delayed. Here’s how cancellations work on our side 👇
Because group tours and private tours work a bit differently, the cancellation terms depend on what you booked.
Group tours
👉 You can cancel your booking up to 48 hours before departure and receive a refund minus a 5% transaction fee.
If you cancel less than 48 hours before the tour, or don’t show up at the agreed pick-up time, no refund will be given.
Private tours
👉 You can cancel up to 30 days before departure and receive a refund minus a 5% transaction fee.
👉 If you cancel between 30 and 14 days before departure, you’ll receive a 50% refund.
👉 If you cancel less than 14 days before departure, or don’t show up, no refund will be given.
The 5% transaction fee applies to all guest-initiated cancellations and covers payment processing and booking fees that we don’t get back once a booking is made.
All refunds are issued in Norwegian kroner (NOK). Please note that we can’t be responsible for any exchange rate differences or bank fees charged by your payment provider.
⚠️ If you can’t join the tour because your flight was cancelled, roads were closed, you got sick, your cruise ship couldn’t dock, or something similar happened — we totally get it. We’re happy to provide any documentation you need for your travel insurance. These situations aren’t covered by our cancellation policy and should be handled through your insurance (make sure it includes trip interruption or cancellation coverage).
👉 Sometimes Arctic Norway reminds us who’s boss. If the weather turns unsafe, or we run into operational issues (vehicle problems, guide illness, road closures, accidents, or closed bridges), we may need to cancel the tour.
If that happens, we’ll always offer one of the following:
Reschedule the tour for another day
Suggest an alternative experience (when possible)
Issue a full refund
If we cancel the tour, no transaction fee is deducted.
All sales of digital products (such as interactive maps and itineraries) are final and non-refundable once delivered.
Cancellations of consultation sessions are refundable if made more than 24 hours before the scheduled time.
Cancellations with less than 24 hours’ notice are non-refundable.
Cancellations of rental equipment are refundable if made more than 24 hours before pick-up.
Cancellations with less than 24 hours’ notice are non-refundable.
4.1 Customer Travel Insurance:
While NORWANA AS is fully insured for our guided activities, participants are required to have their own travel insurance that covers outdoor activities such as hiking, snowshoeing, and adventure travel. We are not liable for any personal injuries, accidents, or losses that may occur during our tours.
4.2 Assumption of Risk:
By participating in our tours, you acknowledge the inherent risks involved in outdoor activities, including but not limited to weather conditions, uneven terrain, and physical exertion. You participate voluntarily and at your own risk.
4.3 Liability Limitation:
NORWANA AS is not responsible for any losses, injuries, damages, or delays resulting from unforeseen circumstances, including but not limited to natural disasters, transportation disruptions, or personal health issues, unless caused by gross negligence on our part.
5.1 Fitness and Health:
Participants must be in good health and capable of participating in the chosen activity. If you have any medical conditions, mobility issues, or concerns, please inform us before booking so we can advise on the suitability of the activity.
5.2 Respectful Behavior:
We expect all participants to respect our guides, fellow participants, and the environment. Disruptive, dangerous, or disrespectful behavior may result in removal from the tour without a refund.
5.3 Equipment Use:
Any equipment provided by NORWANA AS (e.g., snowshoes, hiking poles) must be used responsibly and returned in good condition. Participants may be liable for damage caused by misuse.
6.1 Photography and Videography by the Company:
During our tours, our guides may take photographs and videos for promotional purposes. By participating in the tour, you agree that NORWANA AS may use images or videos of you for marketing and promotional purposes across our digital channels, including but not limited to our website, social media, and printed materials.
6.2 Opting Out:
If you do not wish to be photographed or recorded, please inform us in advance, and we will ensure that you are excluded from any such content.
6.3 Sharing Photographs with Participants:
Our guides are happy to share photos taken during the tour with participants. However, this is a complimentary service and is not guaranteed. If you wish to receive these images, please provide your contact details at the end of the tour.
7.1 Data Collection:
We collect personal information necessary for booking and conducting tours. This includes names, contact details, and any relevant health information.
7.2 Data Use:
Your personal information will only be used for booking, communication, and legal purposes related to the service provided. We do not share your data with third parties except as law requires.
7.3 Marketing Consent:
By booking with us, you consent to receive marketing communications. You may opt out at any time by following the instructions in the emails for unsubscribing.
8.1 These terms and conditions are governed by and construed in accordance with the laws of Norway. Any disputes arising from or related to these terms will be subject to the exclusive jurisdiction of the courts of Norway.
9.1 NORWANA AS reserves the right to update or modify these terms at any time. The latest version will be available on our website. Continued use of our services after any changes implies acceptance of the updated terms.
